FIN

Finance and accounting

The financial spine of the system: general ledger, payables, receivables, banking and controls on the same record as everything else.

Because finance sits inside the same system as sales, purchasing, projects and inventory, every transaction arrives in the ledger already coded to its source. There is no export-and-import step, no month-end chase for missing paperwork, and no second version of the truth in a spreadsheet.

Controls are built in rather than bolted on: postings respect the approval workflows you define, periods lock when you close them, and every figure can be traced back to the sales order, purchase, timesheet or asset event that created it.

Sales

Quotes, orders and invoices in one flow, connected straight to finance and inventory.

The sales module carries a transaction from first quote to settled invoice on a single thread. Convert a quote to an order without re-typing it, invoice from the order without re-typing it again, and watch the receivable appear in finance on its own.

Customer records hold pricing, terms and history in one place, so anyone picking up an account sees exactly what was quoted, ordered, delivered and paid — and what is still outstanding.

PUR

Purchasing

Requests, approvals, orders and supplier bills on one auditable thread.

Purchasing starts with a request and ends with a matched bill — and every step in between is recorded. Requests route to the right approver under your approval workflows, orders issue from approved requests, and receipts confirm what actually arrived.

Three-way matching between order, receipt and bill happens inside the system, so accounts payable only pays for what was ordered and received, and exceptions surface immediately instead of at month end.

INV

Inventory

Stock on hand, locations and movements reconciled with purchasing and sales.

Inventory tracks what you hold, where it is and what it is worth — continuously. Every receipt, issue, transfer and adjustment is a recorded movement, so stock on hand is a fact you can trust rather than a number you audit twice a year.

Because the module shares its records with purchasing, sales and finance, stock quantities and stock value never drift apart from the transactions that changed them.

PRJ

Projects

Plans, budgets, tasks and delivery tracking beside the money they consume.

Projects live where their costs live. A project in CAQA ERP carries its plan, budget, tasks and milestones alongside the purchases, time and expenses recorded against it, so budget-versus-actual is always current rather than reconstructed.

Delivery and finance stay in the same conversation: a slipping milestone and an overrunning cost line are visible on the same screen, to the same people, at the same time.

Employees

Workforce records, roles and reporting lines that drive approvals and access across the system.

The employees module holds the organisation's working structure: who does what, who reports to whom, and which entity, department and cost centre each person belongs to. That structure is not decorative — it powers how the rest of the system routes work.

When someone changes role or team, the change flows through: their approvals re-route, their access follows their new role, and their costs post to the right place from that day forward.

AST

Assets

Registers, allocation, maintenance and lifecycle from purchase to disposal.

Every asset the organisation owns gets one record for its whole life: acquired through purchasing, registered with its details and warranty, allocated to a person or place, maintained on schedule, depreciated into the ledger and finally disposed of — all on the same thread.

Because the register is connected, it stays true. An asset bought through the purchasing module cannot quietly miss the register, and a disposal cannot quietly keep depreciating.

Contracts

Terms, renewals and obligations linked to the suppliers and customers they bind.

The contracts module keeps every agreement — supplier, customer, lease or service — as a live record with its terms, dates, obligations and value, linked to the parties it binds and the transactions it governs.

Renewals stop being surprises: upcoming end dates surface in reporting and to the owners you nominate, with the commercial history alongside so decisions are made with the whole picture.

That single thread makes questions easy that are usually hard — what do we buy from them, under what terms, how has delivery been, and what are we committed to next year?

Multi-entity management

Run many entities, brands or campuses in one system, with consolidated and per-entity views.

Organisations rarely stay one company. Multi-entity management lets each entity, brand or campus keep its own ledger, settings and boundaries while operating inside one system — with inter-entity transactions recorded properly on both sides.
